Today we will demonstrate a special feature of our DataPoint Enterprise edition. You need to know that with the DataPoint Standard edition, you can link to excel worksheets and databases already, to display data in real-time and to generate snapshot presentations.
Now in the Enterprise edition today, you have one unique feature that allows you to generate series of PowerPoint documents on the fly, based on your data. A document per country, or a document per product, or a document per sales person and so on.
In this sample we will generate the yearly evaluation documents of our personnel. So each individual is evaluated by its manager and colleagues, on different points, like performance, presence, sales volumes and so on. We stored the information in an excel datasheet. This will let the user see the names of the persons, and then a large number of scores and percentages. Then we have set up a similar report in PowerPoint. We use PowerPoint here, because PowerPoint is made for presenting. So we have here a list of slides, displaying various information about one person. With DataPoint we have set up a connection to the excel file and specified a range. Then each variable text box is linked to a given data cell in excel. This is done for all shapes on these slides.
Then we go to the special snapshot feature of DataPoint Enterprise edition here. We will be creating a document per person. And here we select the name of the file as how it is going to be saved. We choose the name of the person here. Then we select the folder where all documents will be saved into. And we can select the file type of the document being generated. This can be a normal PowerPoint presentation, a PowerPoint slideshow, PDF document or even an export to the image format is possible. You can export to video formats to, so when you have some great animations on your slides, then it could become fun to generate a personalized movie, a movie with personalized information in it, with moving characters etc.
And finally we can further customize the file name. So here we add some text before and after the person’s name so that we have an understandable file name.
That is it. Click OK.  This will allow the system to  start generating the individual power point documents. We can see it in action when we browse to the generation folder.
OK, we are done. We can now open a random generated presentation and we see that information was updated.
